Now Hiring: Orchestra & Operations Manager

 Status: 40 hour work week, full time, exempt
Reports to: Executive Director
Office HoursL 9am-5pm, M-F + performance days

JOB SUMMARY: The Orchestra & Operations Manager plays a central role in ensuring the smooth functioning of the orchestra’s administrative, financial, and performance operations. This position oversees box office and customer service functions, manages patron and donor records, and ensures the timely delivery of member benefits. The Manager also supports the Executive Director and Board of Directors through administrative and communications tasks, assists with orchestra and event logistics, and maintains compliance with organizational processes.

Box Office/Customer Service/Patron Management

  • Maintain office operations including phones, scheduling, mail, and visitor reception
  • Manage all aspects of ticketing from set-up through purchase, confirmation, and on-site will call.
  • Manage box office and customer service operations.
  • Create and maintain patron database records, ensuring accuracy through regular review.
  • Ensure timely delivery of donor and member benefits.
  • Enter donations and ticket sales; prepare and send acknowledgments and confirmations.

Orchestra/Event Management

  • Support duties of Stage Manager, Musician Personnel Manager, Music Librarian.
  • Oversee orchestra operations and production logistics, including concert and rehearsal scheduling.
  • Coordinate day-of-performance responsibilities, including ushers.
  • Issue musician contracts, collect and track them, and maintain personnel records.
  • Maintain organizational databases, records, and compliance documentation.
  • Support financial and administrative processes, including bookkeeping and vendor management.

Finance/Bookkeeping

  • Calculate and process payments to musicians and contractors after each performance or concert, ensuring accurate and timely compensation.
  • Work with LSO’s accountant to maintain accurate and up-to-date financial records in compliance with accounting standards to include:
    • Provide financial data and reports for audits, as needed.
    • Process invoices, track payments, and manage vendor relationships.
    • Ensure all accounts payable and receivable are processed in a timely manner.
    • Reconcile credit card and bank statements monthly.

Executive Director/Board Support

  • Provide routine feedback to the Executive Director on day-to-day operations.
  • Provide administrative support for board functions including meeting materials.

QUALIFICATIONS:

General

  • Excellent customer service skills.
  • Excellent organizational and communication skills (verbal and written}.
  • Ability to manage multiple projects, follow-through, and meet deadlines.
  • Must exhibit a positive attitude and be an example to others in the areas of problem-solving, teamwork, interpersonal relationships, and commitment to the organization’s mission and vision.
  • Professional appearance and presentation.

Education and Experience

  • High school graduate. Bachelor’s degree preferred.
  • Minimum of five years office administrator or box office experience

Cultivating a Love of the Musical Arts

The Lakeland Symphony Orchestra grew from humble beginnings. We were once only 30 musicians with an audience consisting of family members and a few friends. Our financial base consisted of a large glass jar, marked “donations,” which stood at the concert hall door. But thanks to our amazing community, we’ve grown into an organization that cultivates a love of the musical arts, where everyone is welcome.

1965

In 1965 a group of musicians, led by Florida Southern College professor Dr. Ken Anderson and Lakeland businessman Jay Erwin, who would serve as conductor, decided to organize an orchestra to provide classical music for their community.

1987

1994

In 1994, Governor Lawton Chiles publicly saluted this commitment when he presented the ISO with the prestigious Governor’s Award for Voluntarism in the Arts, recognizing its contribution of more than 22,500 volunteer hours in one year alone.

2021

In 2021, the organization was reimagined as the Lakeland Symphony Orchestra (LSO) and underwent a rebrand to align its look, feel, and message with its purpose and commitment to inclusion.
